AI Process Automation

AI automation

Lean and AI: less manual work, more time for work that matters.

We do not start automation with a tool. First, we identify where the process gets stuck, which actions repeat and what should be simplified. Only then do we select an AI or automation solution that reduces manual work and the likelihood of errors.

Why AI + Lean

We automate what is genuinely worth automating.

01

Reduce repetitive manual work

Data transfer, email sorting, periodic reporting and information entry can be automated. People remain responsible for decisions that require context, accountability and professional judgement.

02

Improve the process first

We do not automate unnecessary steps simply because it is technically possible. We assess the purpose of the process, its inputs, decision points and exceptions, then decide what should be removed, simplified or automated.

03

Measure the result

Before implementation, we agree on what will be measured: working hours saved, reduction in errors and changes in response or task completion time. Automation must deliver a clear benefit rather than becoming another tool that requires maintenance.

Examples

Processes we can automate.

Customer enquiry classification

The system reads an incoming email, identifies its topic and routes the enquiry to the responsible employee. Unusual or unclear cases are left for human review.

Document preparation

Proposals, reports and standard documents are prepared from approved data and templates. A human review step is included before sending, especially when the document has legal or financial significance.

Data reporting

At a scheduled time, the system retrieves data from Excel, a CRM or another source and prepares a weekly summary. The manager receives not only the figures, but also highlighted deviations that require attention.

Process monitoring

The responsible person receives a notification when an important indicator crosses a defined threshold or a process stops. The information appears when action is required instead of being hidden in another rarely reviewed dashboard.

AI tools

We select tools according to the process, data environment and security requirements.

ChatGPT

Text drafting, information analysis and task-specific assistants

Claude

Analysis of large documents and programming tasks

M365 Copilot

Work across Excel, Word, Teams and Outlook

n8n

System integration and automated workflows

Power Automate

Automation of Microsoft 365 processes

Notion AI

Knowledge-base search, summaries and content organisation

Process

From process analysis to a working automation.

1

Process analysis

We clarify the process objective, repetitive actions, data sources, exceptions and the largest time demands.

2

Pilot solution

We build and test a small-scale automation to verify its benefit and risks.

3

Implementation

We configure access, control steps and documentation, train users and launch the solution in daily work.

4

Maintenance and expansion

We monitor the result, adjust workflows and, once the solution proves effective, adapt it to other processes.

Start with one process.

Briefly describe a recurring task or process that currently takes a significant amount of time. We will assess whether it is worth automating and what the safest first test would be.
